HSEQ Administrative Assistant

Job description

Coordinates, implements, and maintains the company’s document control/QMS system and performs administrative duties for the HSEQ department. Strictly follows established procedures and policies needed to meet the demands of document control and HSEQ administration.

Responsibilities and Duties

The HSEQ Administrative Assistant is responsible for assisting the Stork USA HSEQ Manager with the maintenance of the Stork USA HSE and Quality management systems.

Responsible for assisting with the maintenance of the organizations HSE and Quality management systems.

  • Responsible for assisting with the ongoing and day to day provision of HSEQ support, reporting, and systems maintenance.
  • Maintain company computer-based incident data.
  • Responsible for overall coordination of controlled documentation within Stork USA.
  • Perform the document control function in compliance with the Quality Management System (QMS).
  • Assist in supporting external audits and ensure timely response to documentation requests.
  • Support internal requests for documentation.
  • Prepare monthly HSEQ reports to convey information on the HSEQ performance of Stork USA.
  • Develop memos, letters, and alike to communicate and reinforce specific HSEQ issues with key stakeholders.
  • Maintain HSEQ records/procedures.
  • Edit documents with typical typographical errors and other types of errors that may lead to the disqualification of a document due to company standard formatting.
  • Perform regular audits on company documents.
  • Maintain Stork HSEQ data in ISNetworld.
  • Assure all documents submitted are approved.
  • Follow company standard operating procedures in submission of documents.
  • Submit company documents punctually and with quality.
  • Ensure that there are no errors in file names, submissions, etc. before submitting to departments to avoid confusion.


    Job requirements

    Qualifications and Skills

    • Minimum associate’s degree
    • Minimum 1-2 years of document control and/or HSEQ administration experience involving the oil & gas industry
    • Basic experience with electronic document control systems preferred
    • Experience with HSEQ legislative requirements (ISO, OSHA, etc.)
